Easily accessible duplicate files & email... Any ideas?

We have several account managers at work, who are often out of the office and take their laptops with them. Sometimes we need to access information in their email & documents folder while they're out and about.

I'm trying to find a solution so that they can continue as normal, but we effectively have an easily accessible duplicate set of information held in the office.

The emphasis here is on the easily accessible bit, I'm not looking for a backup up system as such. All the computers are already backed up with Retrospect, but I want to avoid having to access archived files..... busy busy, you know.
