I have created one real account with 3 user folders. My knowledge or experience with apple is in its infant stage.

As result my display has changed many saved documents have disappeared. Could someon please help guide me through to get back to where it was?

The account create a User folder (where where documents a User makes - ~/Documents). So just log into the User account you created the document in. You then could just drag the file into the User account folder's Public Drop box so that user could get that document. This is just one level of OS X Security.
